The following document outlines the Privacy Policy of the ConferenceCloud website. Before using any of the ConferenceCloud services, you are required to read, understand, and agree to these terms. The column on the right provides a short explanation of the terms of use and is not legally binding.


CONSENTING TO THIS PRIVACY POLICY

By accepting the Privacy Policy during registration or by visiting and using the Site, you expressly consent to our collection, use and disclosure of your Personal Information in accordance with this Privacy Policy. This Privacy Policy is incorporated into and subject to our Terms of Service.

We may revise this Privacy Policy from time to time. We encourage you to periodically review this Privacy Policy to stay informed about how we are protecting the information we collect from you.

WHEN PERSONAL INFORMATION IS NOT COLLECTED

In general, you can browse the Site without telling us who you are or revealing any Personal Information about yourself. Once you become an Individual Registered User, you are no longer anonymous to us.

HOW WE COLLECT YOUR PERSONAL INFORMATION

We will collect your Personal Information in the following ways:

  1. When you register for a User Account and become a Registered User;
  2. When you upload User Content;
  3. When you complete your User Profile;
  4. When you are using the Site as a Registered User.

INFORMATION COMPLETED WHEN REGISTERING FOR A USER ACCOUNT, UPLOADING USER CONTENT OR COMPLETING YOUR USER PROFILE

We may collect your Personal Information such as your name, email address, mailing address, birth date, profile pictures, photos, interests, skills, hobbies, etc.

Where possible, on forms where we collect your Personal Information, we indicate which fields are required and which fields are optional.

INFORMATION COLLECTED WHEN USING THE SITE

This information may include the URL that you just came from (whether this URL is on our Site or not), which URL you next go to (whether this URL is on our Site or not), your computer browser information, your IP address, your location, a unique user ID, version of software installed, system type, the content and pages that you access on the Site, and the dates and times you visited the Site, etc.

We may also use “Cookies”. Cookies are small files placed on your hard drive that assist us in providing our services. We use cookies to allow you to enter your password less frequently during a session, and we use data collection devices (such as Google Analytics), including cookies, on certain pages of the Site to help analyze our web page flow, measure promotional effectiveness, and promote trust and safety, to offer certain features that are only available through the use of a cookie and to allow us to provide information that is targeted to your interests.

We may also use “Pixel Tags”, also known as “Clear Gifs” or “Web Beacons”. These are invisible tags placed on certain pages of the Site. Wen you access these pages, pixel tags generate a generic notice of that visit. They usually work in conjunction with cookies, registering when a particular computer visits a particular page. If you turn off cookies, the pixel tag will simply detect an anonymous website visit.

INFORMATION COLLECTED WHEN USING THE SITE AS A REGISTERED USER

If you are a Registered User, we may collect Information regarding all your activity on the Site, including but not limited to, the Conference Events you have attended, Conference Events you will attend, which Users you are following, which Users follow you, what questions you have asked during a Conference Event, and your interaction with the Chat feature during a Conference Event.

We will also collect your User Account credentials so that you may utilize ConferenceCloud’s “Remember Me” feature when logging into the Site.

WHY INFORMATION IS COLLECTED, GENERALLY

Our primary purpose in collecting Personal Information from you is to provide you with a safe, smooth, efficient, and customized experience. This allows us to provide services and features that most likely meet your needs, and to customize our service to make your experience safer and easier. We only collect Personal Information about you that we consider necessary for achieving this purpose.

IF YOU DO NOT WANT YOUR INFORMATION COLLECTED

You always have the option to not provide information by choosing not to become a Registered User or by not using the particular feature of the Site for which the information is being tracked.

USES OF YOUR PERSONAL INFORMATION TO BENEFIT YOU

Your Personal Information will be used to benefit you. We will use your Personal Information to:

  1. Provide you with the services offered by the Site;
  2. Resolve service disputes;
  3. Troubleshoot problems;
  4. Measure consumer interest in our products and services;
  5. Inform you about online and offline offers, products, services, events and updates;
  6. Deliver information to you that may be relevant to your interests such as product news;
  7. Customize your user Experience;
  8. Detect and protect us against error, fraud and other criminal activity;
  9. Enforce our Terms of Service;
  10. Provide you with system or administrative messages;
  11. Inform you of Site updates and notices related to privacy or security

USES OF YOUR PERSONAL INFORMATION TO BENEFIT THE SITE

Your Personal Information will be used to benefit the Site. We will use your Personal Information to:

  1. Improve our marketing and promotional offers
  2. Analyze Site usage to improve our content and product offerings
  3. Customize the Site's content, layout and services
In general these uses improve the Site and better tailor it to meet your needs, so as to provide you with a smooth, efficient, safe and customized experience while using the Site.

REVIEWING AND MODIFYING YOUR PERSONAL INFORMATION AND PRIVACY SETTINGS

When you become a Registered User, you create a User Profile with privacy settings. Following your registration on the Site, you can review and change your information in your User Account area.

You may modify or remove any of the information in your Profile at any time by logging into your User Account and making the desired changes. Your User Profile may be public or private. If you do not want any other User to see your User Profile, please indicate that you would like your User Profile to be private. For technical reasons, any modifications or deletions which you request may take a short period of time to take effect. If you change or delete any of your Personal Information, we will remove the old or deleted information from public view; however, we may keep such information archived beyond this point in time, as noted under “Our Retention of Your Information” below.

WHEN YOUR PERSONAL INFORMATION WILL BE DISCLOSED TO THIRD PARTIES

We will not sell or rent your personally identifiable information to third parties without your explicit consent. The following describes some of the ways that your information may be disclosed in the normal scope of business to provide our services:

  1. Anonymized Aggregated Data
    We aggregate and anonymize data and use and disclose such information for a variety of purposes. However, in these situations, we do not disclose any information that could be used to identify you personally.

  2. Conference Organizers
    Your Personal Information will be provided to the Conference Organizer of any Conference Event that you have registered for. You acknowledge that each Conference Organizer has their own terms of service and privacy policy, and that you should make yourself familiar with such terms and policies.

  3. Public Areas of the Site
    All of your activities in the Interactive Areas of the Site will be identifiable to your User ID. Other Users will be able to see your questions, chat conversations, forum posts, etc. Therefore, if you do not want other Users to personally identify your activities on the CC Platform, do not use any part of your real name with your User ID.

  4. Subsidiaries and Affiliates; Service Providers
    Significant portions of the Site are reliant on Third Party Service Providers, including but not limited to Amazon Web Services, ScaleEngine, Softlayer, RedisLabs, Slideshare, Firebase, Mandrill, Sendgrid, Mailchimp, Eventbrite, Slack, etc. We may disclose Personal Information to these third party service providers in the course of our use of their services. For example, we may use the services of third-party hosting companies to host the operation of the Site. This may involve the hosting of data, including Personal Information, on servers operated by those hosting companies.

  5. Legal Requests; Emergencies; Jurisdictions
    We cooperate with law enforcement inquiries and demands for information that are made under force of law. We are also cognizant of the need to address emergencies. Therefore, we may disclose your Personal Information (a) to any governmental authority as part of an investigation to determine our compliance with any applicable law, rule, or regulation (including privacy laws, rules, and regulations), (b) in response to a court order, subpoena, discovery request, or other lawful judicial or administrative proceeding, (c) as otherwise required under any applicable law, rule, or regulation, and (d) in good faith, to protect or defend our rights or property or those of other users.

  6. Sale of Business
    We may also disclose Personal Information to the acquirer or its agents in the course of the sale of our business. If we do this, the disclosure will be subject to confidentiality arrangements customary in such transactions.

PERSONAL INFORMATION WHEN TERMINATING USER ACCOUNT

Please see our Terms of Service for information on what we do to account information when you terminate your account with us.

RETENTION OF YOUR PERSONAL INFORMATION

We retain Personal Information for only as long as required to fulfill the identified purposes for which it was collected or as required by law. When you register on the Site, archived Personal Information that you have provided will not ordinarily be erased unless and until your entire account on the Site is deleted, and even then we may retain some or all of your Personal Information on back-up files; provided, however, we assume no obligation or guarantee to archive any information and do not warrant that any archived information will later be made available to you.

WHAT THIS MEANS,

We retain your Personal Information only a need-basis.

YOUR PROFILE AND ONLINE ACTIVITY

The Site is a public forum. You should be aware that information which you voluntarily include and transmit online in a publicly accessible forum such as the Site may be viewed and used by others without any restrictions. We are unable to control such uses of your information, and by using the Site you assume the risk that the information provided by you may be viewed and used by third parties for any number of purposes.

There is a risk that any of your Personal Information that is on a publically accessible part of the site may be viewed and used by third parties for their own purposes.

HOW YOUR PERSONAL INFORMATION WILL BE PROTECTED

ConferenceCloud strives to protect your Personal Information. For security of transactions, we use standard encryption protocols (SSL/HTTPS/WSS) for transmission of information. The encryption process protects your information, by scrambling it before it is sent to us from your computer. We also make commercially reasonable effort to ensure the security of your Personal Information on our system. Your password is also stored on our system in an encrypted form. Unfortunately, no data transmission over the Internet and no storage of data, even in an encrypted form, can be guaranteed to be 100% secure. As a result, while we strive to protect your Personal Information, we cannot warrant the security of any information you transmit to us.

WHAT THIS MEANS,

ConferenceCloud will do its best to protect your Personal Information, but cannot provide a 100% guarantee of its safety.

OTHER INFORMATION COLLECTORS

Except as otherwise expressly included in this Privacy Policy, this document only addresses the use and disclosure of information we collect from you. To the extent that you disclose your information to other parties through the Site, different rules may apply to their use, collection and disclosure of the Personal Information you disclose to them. Since we do not control the information use, collection or disclosure policies of third parties, you are subject to their privacy policies. We encourage you to ask questions before you disclose your Personal Information to others.

WHAT THIS MEANS,

This Privacy Policy does not apply to Personal Information you provide to third parties other than ConferenceCloud. In these cases, you are subject to the third parties’ policies.
